Viewing and Managing Submissions

User Guide

Every time someone fills out your form, the data is saved as a submission in your WordPress dashboard. The Submissions page is your central hub for reviewing responses, following up with leads, and keeping track of everything that comes through your forms. Think of it as your inbox for form data — it is where all your responses live, organized and searchable.

Managing submissions effectively means you never miss a lead, never lose track of a request, and always know how your forms are performing.

How to View Submissions

  1. Go to Form Forge > Submissions in the left sidebar.
  2. Use the dropdown at the top of the page to select which form’s submissions you want to view.
  3. The list shows each submission with the date, key field values (like name and email), and status.
  4. Click View on any submission to open a popup showing every field and its submitted value.
  5. Use the status filter to view only New, Abandoned, or Spam submissions.
  6. Use the date range picker to narrow results to a specific time period.
  7. Use the search bar to find submissions containing specific text (like a name, email, or keyword).

Submission Actions

Each submission in the list has several actions available:

ActionWhat it doesWhen to use it
ViewOpens a popup showing every field and its submitted valueQuick review of any submission
PDFDownloads a formatted PDF file for the submissionFiling records, sharing with team members, attaching to CRM
DeletePermanently removes the submissionTest entries or spam that slipped through

Understanding Submission Statuses

StatusWhat it meansWhat to do
NewThe visitor successfully completed and submitted the formReview and follow up as needed
AbandonedThe visitor started filling out the form but left before submitting (PRO)Review partial data — these are potential warm leads
SpamThe submission was flagged by anti-spam filtersUsually ignore; check occasionally for false positives

Bulk Actions

You can select multiple submissions using the checkboxes on the left side and perform bulk actions:

  • Delete selected — Remove multiple submissions at once (for example, clearing out test data)
  • Export selected to CSV — Download just the selected submissions as a spreadsheet file
Real-world example: You are the marketing manager at a software company. Every Monday morning, you go to Form Forge > Submissions, select last week’s date range, and review all new demo request submissions. You export them to CSV and import the file into your CRM so the sales team can follow up.

> Tip: Check your submissions regularly — at least as often as you check your email. Form Forge sends notifications, but having a habit of reviewing submissions directly ensures nothing falls through the cracks and gives you a better sense of overall volume and quality.

> Good to know: Submissions are stored in your WordPress database, not on an external server. They stay there until you delete them, and they are included in your standard WordPress backups. You always have full control over your data.

Common Mistakes to Avoid

  • Never checking the Spam filter. Occasionally a legitimate submission gets flagged. Do a quick check once a week.
  • Letting submissions pile up without follow-up. A lead that is three days old is worth far less than a fresh one.
  • Deleting submissions you might need later. Export to CSV first if you want a clean dashboard but need to preserve the data.
